Position title: Office Administrator (1 position)
Reporting to: Director
Job Location: Caritas Homa Bay Office

Caritas Homa Bay is a registered Faith based Organization affiliated to the Catholic Diocese of Homa Bay with the Bishop as the legal holder. Caritas Homa Bay runs a number of socio-economic programs that visionalise & encourage the peoples’ establishments so that they are empowered to take charge of their own development initiatives. Caritas Homa Bay has in the last 20 years partnered with a number of stakeholders to carry out a wide range of development programs with USAID, CRS, PATH and CAFOD being the major donors. It is therefore for the smooth running of the activities in administration that an Office Administrator is required to propagate a working together relationship with all program staff, other Programs’/projects’ of the Diocese, Various Agencies, Government office Clients and the Donors. She/he must therefore be:

  • Open minded, creative & humble (but stern) and must adopt the right philosophy about positive criticism in her approach to issues
  • His/her level of imagination and judgment must be beyond reproach
  • She/he must be ready to learn and continuously consult and seek guidance on issues that might not be well understood
  • The level at which the staff adopt the performance depends very much on the Office Administrator’s ability to motivate them.
  • To do this the Secretary has to maintain a proper understanding and up-to-date information on the programs.
  • The Office Administrator is entrusted with enormous resources and classified information including stores and personal files at his/her disposal. She is therefore expected to demonstrate a high degree of confidentiality, diligence and trustworthiness in the performance of his/her duty.

Position Profile:
The Office Administrator is a member of the Administration and finance department and responsible for providing efficient and effective administration including:
• Providing general office support and administration.
• Managing reception.
• Liaising with internal and external contacts.
• Providing information to staff and donors
• Being the communication focal point, sharing correspondence in supporting programs
• Ensuring buildings and premises are well maintained
Academic qualifications:
• At least a Diploma in Secretarial Studies, Front Office Administration, Business Administration, Human Resource Management, Public Relations or Information Technology from an accredited institution/school of secretarial studies.
